Office Manager

Role Purpose

The Office Manager is responsible for ensuring the smooth day-to-day coordination of administrative, project, billing and operational functions at Vector Actuaries. The role supports the delivery of actuarial work for attorneys by ensuring instructions are actioned accurately, work is allocated effectively, deadlines are monitored and internal operations remain organised.

This is not an actuarial role.

Key Responsibilities

Communicate with clients, primarily attorneys, regarding instructions received and any follow-up information required.
Take responsibility for project management and coordination across matters handled by the business.
Update and maintain the project management system accurately and timeously.
Assign roles and work to the appropriate team members.
Monitor deadlines, track progress and escalate any delays or workflow risks.
Prepare and distribute status, progress and deadline reports.
Pull invoices and assist with billing-related administration.
Manage employee workloads to support efficient turnaround and capacity planning.
Assist with accounts administration.
Assist with procurement of office and operational requirements.

Skills

Strong organisational skills with the ability to manage multiple deadlines and competing priorities.
Professional written and verbal communication skills suitable for client-facing interaction.
Strong attention to detail and accuracy.
Ability to manage workloads and coordinate tasks across a team environment.
Very high level of computer literacy.
Professional discretion and the ability to handle confidential information appropriately.

Experience

Experience in managing various stakeholders, administrative tasks, logistics, communications, etc.
